You're not busy. You're just doing too many tiny things.

Trabajo con cientos de property managers y veo el mismo patrón todo el tiempo: no es una tarea grande y difícil lo que consume tu tiempo, son docenas de tareas pequeñas.

Each message, update or follow-up only takes a few minutes, but together they can easily add up to 10+ hours a week of repetitive operational work.

Here’s what’s actually eating your time — and how I can help.

1Five-minute tasks are eating your week.

A guest asks a question. A cleaner needs confirmation. A booking changes. An owner wants an update. None of these tasks is big. Most take 2–15 minutes. But they keep coming, across different properties, tools and people. And the constant switching is what makes it exhausting.

2Here’s where the time actually goes.

Every property is different, but these are the tasks I see property managers spending the most time on:

Guest communication

Answering questions, handling special requests, resolving issues.

Owner updates

Collecting data and writing monthly or quarterly reports.

Cleaning coordination

Confirming schedules, handling changes, checking if it’s done.

Calendar and booking admin

Changes, cancellations, blocked dates, pricing updates.

Maintenance

Chasing vendors, following up, making sure it’s actually fixed.

Follow-ups and reminders

Checking who’s waiting on what and making sure nothing gets missed.

3It’s not just the tasks. It’s the context switching.

Most of the time isn’t spent doing the task — it’s finding the information, switching tools, checking the context and figuring out what to do next. You’re always connecting the dots between bookings, messages, cleaners, vendors and owners.

4Real examples I see every day.

These are the kinds of things property managers often ask ChatGPT — but even after getting an answer, you still have to find the information and do the work.

“Can you check who hasn’t replied?”I find the guests who are waiting and handle the routine replies.
“Can you check tomorrow’s check-ins?”I review arrivals, confirm cleaning, send instructions and flag issues.
“Can you write an owner update?”I pull the data, summarize the month and highlight what’s important.
“Can you deal with this guest complaint?”I read the full context, respond and create follow-up tasks if needed.
“Can you find what I promised this guest?”I remember your commitments and make sure nothing slips.
“Can you check if anything is going wrong across my properties?”I look for missing messages, open maintenance, pricing issues and more.

5The maths.

Let’s take a simple example. If you manage 8 properties and spend just 2 hours per property per week on repetitive operational work, that’s 16 hours a week, 64 hours a month, and 768 hours a year — roughly 96 eight-hour working days. The actual number can be higher depending on occupancy and how much you’re managing yourself.

6So what should you actually spend your time on?

The operational glue doesn’t need to take your day. I handle the repetitive work so you can focus on decisions, guests, pricing, growing your portfolio — and actually switching off.
